I run a small cross-border home furnishing wholesale business. I launched an independent website for B-end wholesale at the end of 2025, and have been receiving orders from overseas customers one after another. Previously, I only provided OEM processing for large factories and have never operated the export process on my own.

I consulted several service providers, but their stated service contents vary: some only take charge of customs declaration, while others claim to provide full-package services. I cannot figure out what routine work content export agency services include, and whether there will be hidden omitted items.

If any link is missed, it will cause troubles such as customs detention or failed tax refund. I am about to ship the first order recently, so I want to thoroughly understand what the full process of export agency services covers, so as to select appropriate service providers.

The work content of export agency services is disassembled in the order of the full process, starting from the pre-link after order receiving. The first step is pre-document review, which includes verifying the shipment qualification of the supplier, product classification information, purchase and sales contracts, and accuracy of customs declaration elements. Meanwhile,it covers checking the trade terms and foreign exchange receipt information of overseas customers, and investigating problems such as classification errors and document discrepancies in advance,so as to avoid extra costs caused by document amendment after the goods are loaded on board.

The next step is core node connection, including booking and trucking arrangement, customs declaration and inspection, manifest verification, and bill of lading confirmation and docking. It also involves synchronously following up the arrival status of goods, docking various notices from freight forwarders and customs, connecting the operation nodes of foreign exchange receipt and settlement, and sorting out all kinds of documents for retention as required.

Then comes abnormal situation contingency plan preparation. For common abnormalities such as container rolling, customs inspection and port change, buffer solutions are reserved in advance,a 1-2 day buffer period for customs declaration is set aside, and alternative shipping space information is prepared synchronously. Once an abnormality occurs, adjustment will be made immediately to avoid large demurrage and detention charges.

The last part is compliance implementation in the later stage of export, including foreign exchange receipt verification and cancellation, compliant declaration of export tax refund, and document archiving and retention. We follow up the whole tax refund process, and cooperate with the verification and investigation of tax authorities to ensure the tax refund is received on time. According to different needs of customers,we can provide both full-process full-package agency services and single-link agency services. All work content will clearly mark the responsibility boundary in the service contract, and there will be no hidden omitted items. All possible links involved will be sorted out in advance,so that customers can clearly know the content corresponding to each service, and avoid the problem of unclear responsibility in the follow-up.
