I run a domestic high-end home furnishing mall, and I plan to add an imported kitchenware zone this year, mainly partnering with household and commercial kitchenware brands from Germany and Italy. We receive about 3 to 5 batches of goods per month, with small volume but diverse categories.

We previously worked with a small agency, and last time a batch of cast iron frying pans was detained due to incorrect document labeling, resulting in 7 days of port demurrage and quite a lot of container detention fees, which almost disrupted the new product launch schedule of our mall. Now we want to switch to a reliable agency, and I am wondering which one is truly trustworthy.

We need an agency that can handle customs clearance, logistics and tax related matters, to avoid any further mistakes, since we cannot afford delays in new product launch. We also hope the agency can help us control the overall comprehensive cost, without any messy extra charges.

Many small agencies deliberately simplify the pre-review process for kitchenware import to grab orders, for example, they skip pre-verification of CCC mandatory certification for different kitchenware categories, skip pre-review of commodity classification, and even modify the HS code to pay less tax, which is the most common mispractice in the industry. Many merchants choose such agencies just for their low initial quotation, but end up paying far higher costs.

The cascading negative effects of such wrong operations are very direct. In light cases, goods are detained due to inconsistent document information, resulting in high port demurrage fees and container detention fees, and prolonged customs clearance cycles. In severe cases, goods will be ordered to be shipped back due to non-compliant certification with China's access requirements, all the prepaid goods payment and logistics costs are wasted, and the scheduled new product sales launch schedule is missed, leading to loss of end customers and damage to brand reputation.

Pre-classification pre-review of documents is the most direct risk isolation measure. All imported kitchenware, regardless of batch size, must be checked in advance for CCC certification requirements,HS code, certificate of origin information, and Chinese label compliance. Goods can only be shipped after all items are confirmed to be correct,so as to block risks from the source.

For existing abnormal situations, the exclusive loss control tip is to reserve a 3-5 day buffer period for customs clearance in advance, and connect to the port's green abnormal handling channel at the same time. Once minor problems occur, rectification can be done immediately to avoid extra port demurrage fees. You can also dynamically optimize tax difference and exchange difference to reduce overall import cost and ensure profit margin.

Imported kitchenware covers a wide range of categories, and kitchenware of different materials and use scenarios differs greatly in classification, which easily leads to disputes during customs valuation. For different categories of commercial and household kitchenware, it is necessary to sort out the classification logic in advance, check the latest official HS code annotations of customs, and avoid deletion and re-declaration caused by wrong classification. For branded kitchenware, you also need to prepare original manufacturer invoices, foreign exchange payment vouchers and other documents in advance to cope with customs valuation verification, so as to avoid adjustment of dutiable value and extra tax cost.

In view of the difference of customs clearance rules at different ports across the country, you can adjust the declaration port through the integrated customs clearance mode, improve customs clearance efficiency and reduce unnecessary process loss. For existing hanging declaration and pushback order problems, you can sort out the declaration logic, supplement corresponding documents to complete secondary declaration, quickly resolve abnormal status and reduce port demurrage time.

Most imported kitchenware is made of fragile ceramics and glass, or large commercial cooking equipment, so the logistics link needs targeted plan adjustment. For small-batch multi-batch imported kitchenware, you can choose consolidated container import to reduce logistics cost, and communicate with shipping companies in advance to reserve free demurrage period and free container detention period, so as to avoid extra container detention fees and storage fees.

In view of the problem of space overbooking and cargo rollover on Europe and America routes, you can lock the space two weeks in advance, and prepare an alternative transshipment space plan at the same time to avoid delaying the delivery cycle. For full-container imported large commercial kitchenware, you need to confirm the unloading and trailer route at the destination port in advance, and apply for route approval for over-height and over-width equipment in advance to avoid detention or extra charges during transportation. For the goods right transfer link, you need to confirm the endorsement requirements of the bill of lading in advance to ensure controllable goods ownership.

Imported kitchenware can reduce the overall import cost through compliant tax planning. For kitchenware imported under general trade, products meeting access requirements can apply for VAT deferral, which means there is no need to pay value-added tax in advance during customs clearance, so as to ease the pressure of capital occupation. For bulk purchased small-value kitchenware, you can use the approved tax difference preferential policy to optimize cost, and confirm access qualifications in advance to enjoy corresponding policies when meeting requirements.

For related transactions with overseas brand owners, you need to sort out the transaction pricing in advance, comply with the arm's length principle, avoid triggering anti-avoidance investigation by tax authorities, and generating extra late payment surcharges or fines. For relevant fee payments to non-resident enterprises, you need to sort out the withholding income tax payment requirements in advance, complete the declaration in a compliant way, and avoid affecting subsequent foreign exchange payment.

Cross-border foreign exchange settlement for imported kitchenware needs to comply with the latest foreign exchange regulatory requirements, and select corresponding foreign exchange payment paths according to different procurement modes. If RMB settlement is adopted, the transaction can be completed through the CIPS Cross-border Interbank Payment System, which features faster settlement speed, lower handling fee, and can avoid risks brought by exchange rate fluctuation.

For small-batch multi-batch procurement, you can settle foreign exchange in advance to balance accounts and lock exchange rate, so as to avoid cost increase caused by RMB exchange rate fluctuation. For the requirements of overseas suppliers, you can parse SWIFT message information in advance, confirm the accuracy of foreign exchange payment information, and avoid payment return which will delay goods payment and affect delivery cycle. For the use of offshore accounts, you need to comply with the latest regulatory requirements, complete capital flow in a compliant way, and avoid account freezing which will affect business operation.

In the procurement link of imported kitchenware, you need to sort out risk points in the trade contract in advance. For letter of credit payment terms, check each clause of the letter of credit one by one, rule out soft clauses such as requiring provision of unobtainable certification documents or setting unreasonable delivery requirements, to avoid triggering letter of credit discrepancies and resulting in payment deduction.

For intellectual property related matters, you need to ask overseas suppliers to provide brand authorization documents in advance, complete customs intellectual property protection record filing, avoid goods detention due to intellectual property disputes, and prevent legal risks brought by parallel import. For force majeure clauses, clearly define the scope and responsibility division, so as to avoid disputes caused by shipping delay, port congestion and other problems that can not be traced for accountability. For the goods ownership transfer link, clearly define the scope of use and validity of the letter of indemnity, to avoid goods ownership disputes.

When imported kitchenware encounters on-site customs inspection, you need to make corresponding preparations in advance. First, check the authenticity of the seal, confirm that the seal number is consistent with the marking on the bill of lading, and avoid the problem of swapped containers.

For the non-intrusive inspection process, sort out the goods placement list in advance to facilitate scanning and identification, and reduce manual unpacking caused by unclear scanned images. If manual unpacking inspection is required, arrange unpacking personnel and site in advance to shorten inspection time and reduce port demurrage fees.

If inspection and laboratory testing are required, prepare original material descriptions and certification documents in advance, cooperate with customs to complete the testing process, and speed up the issuance of laboratory reports. For the content of the inspection notice, check the goods information in advance and confirm the inspection requirements, so as to avoid delaying the inspection process due to mismatched information.

Imported kitchenware has diverse materials, some kitchenware with cutting edges, glass and ceramic kitchenware belong to goods requiring special packaging, so targeted packaging schemes are needed to avoid damage during transportation, and meet customs packaging compliance requirements at the same time. For goods with wooden packaging, confirm the IPPC mark to avoid disinfection treatment or return shipment due to non-compliant marking.

For fragile glass and ceramic kitchenware, select packaging materials that meet buffering requirements, complete moisture-proof and reinforcement treatment, to avoid shaking and breakage during transportation. For kitchenware with non-stick coating, mark the composition in the MSDS document, interpret MSDS information in advance to confirm compliance with China's import requirements, and avoid goods detention due to non-compliant composition. For commercial kitchenware with gas connection port, confirm the protection requirements of packaging in advance, to avoid port damage affecting subsequent sales.

The supply chain structure of imported kitchenware needs to be adjusted according to sales scale. For the monthly small-batch multi-batch import demand, you can set up front inventory, stock up in domestic bonded warehouses in advance, complete customs clearance and delivery quickly after receiving orders, and shorten the delivery time for end customers. For cost control, accurately calculate the comprehensive cost under different trade terms, compare the cost difference between CIF and FOB modes, select the most suitable trade term, and adjust the trade structure to reduce overall logistics and insurance cost.

You can adjust procurement and delivery cycles according to sales peak and off-peak seasons, lock logistics prices in off-peak seasons to reduce logistics cost. At the same time, build an inventory linkage strategy, adjust purchase volume according to sales data, avoid capital occupation caused by overstock, improve capital turnover rate, and optimize the overall revenue ratio of the supply chain.
