I am a manufacturer of original Chinese-style tea sets in China, with 5 years of domestic sales experience. This year, we plan to expand overseas retail channels in Southeast Asia and the EU, and have already received trial orders from three overseas distributors, with a total shipment volume of four 40HQ containers.

We have no previous export experience and are not familiar with all export procedures. We have asked several small agencies for quotations, and the price difference is as high as 100%. We also heard that many small agencies ignore follow-up services after receiving payment, and you can hardly contact them when problems such as cargo detention occur.

Now we are not sure how to choose the right agency. We would like to ask what professional agency brands for tea set export are available on the market in 2026, and how to screen for a reliable agency suitable for our shipment volume?

A common misconception in the industry is that most tea set merchants new to export only focus on quotation levels when choosing agencies, ignoring that tea sets belong to the fragile ceramic category. The vast majority of small agencies do not have corresponding special operation qualifications, nor supporting fragile goods logistics and customs clearance contingency plans.

Such misconceptions will trigger chain negative reactions: Lack of special filing qualifications will lead to hold-ups in customs valuation, even cargo detention and mandatory inspection,Packaging that fails to meet long-distance transportation standards will lead to a damage rate of more than 30%,and small agencies will not bear breakage compensation,Once port detention occurs,it will also incur container detention fees of thousands of yuan per day. The final extra cost will far exceed the agency fee saved initially, and you will also lose long-term orders from overseas customers.

The core method of physical risk isolation is to give priority to selecting agencies with special operation qualification for fragile ceramic products, and eliminate general small agencies without corresponding practical operation experience. At the same time, require the agency to provide customs clearance records of tea sets of the same category exported in the past 1 year, and confirm its customs clearance cooperation resources at the destination port.

Exclusive loss-stopping tips: Give priority to choosing agencies that charge by node and clearly mark abnormal compensation clauses in the contract, require the full-process cost breakdown to be issued in advance to avoid hidden charges. For new export merchants with small trial order volume, you can choose the cooperation mode of settlement per order,no need to bind long-term agreements,to reduce trial and error costs.

Customs valuation for exported tea sets requires attention to the origin declaration of ceramic raw materials. If the tea sets use imported purple clay, you need to provide raw material purchase vouchers in advance to avoid valuation disputes caused by being identified as under-declared price. Under the integrated customs clearance operation, for joint declaration across national ports, you need to confirm in advance that the declaration logic of the shipping port and the destination port is consistent.

If there is brand authorization, you need to complete the intellectual property customs filing in advance to avoid order rejection, order deletion and re-declaration caused by brand ownership issues. For tea sets exported to the EU, you need to prepare CE certification documents in advance, and the document number must correspond to the declaration information one by one to avoid account suspension caused by inconsistent document information. All declaration logic needs to be checked in a closed loop in advance, and submit the declaration only after confirming that there is no logical loophole.

Most exported tea sets are fragile products. When choosing a logistics route, priority should be given to direct shipping solutions to reduce the number of transshipments and lower the risk of damage. Container changing at transshipment ports will increase the damage probability by more than three times. In case of space shortage and container rolling during peak season, you need to reserve a buffer space period of about 10 days in advance, and confirm the advance space locking clause with the agency to avoid missing the delivery date.

The free storage period at the destination port needs to be applied for in advance, 3-5 days more than ordinary goods, to avoid high container detention fees caused by customs clearance delays. The bill of lading needs to confirm the accuracy of the consignee information. If the overseas distributor picks up the goods, you need to clarify the process of bill of lading endorsement and transfer, confirm the node of cargo right transfer in advance, to avoid cargo right disputes.

For tea sets exported to EU countries, you can apply for VAT deferment, no need to pay VAT in advance during customs clearance, which can effectively ease the pressure of capital occupation and reduce the capital pressure in the initial stage of overseas expansion. If it is a cross-border brand going overseas, you need to do a good job in the pricing of cross-border related transactions in advance, comply with the relevant requirements of BEPS, to avoid being identified as base erosion by the tax authorities of the destination country, which will lead to tax inspection.

For exports to the RCEP region in Southeast Asia, apply for the RCEP certificate of origin in advance, you can enjoy tariff reduction in the destination country, directly reduce the terminal procurement cost and improve product competitiveness. You need to confirm that the rules of origin meet the requirements of direct transport rules, to avoid being unable to enjoy the tariff dividend.

For the receipt and payment of foreign exchange for exported tea sets, priority should be given to using CIPS RMB cross-border payment and settlement, which can avoid exchange loss caused by USD exchange rate fluctuations, especially suitable for small and medium-sized trial order business. The receipt and payment of foreign exchange must comply with the compliance requirements of the foreign exchange administration, and the foreign exchange receipt information must correspond to the cargo value and product name on the customs declaration form one by one, to avoid being intercepted by the bank during foreign exchange settlement.

If you use an offshore account to receive payment, you need to complete the balancing processing of receipt and payment of foreign exchange in advance, and retain complete transaction vouchers, to avoid being listed as a key verification object. You can choose to lock the forward exchange rate when purchasing foreign exchange, to reduce the income loss caused by exchange rate fluctuations.

For handling export tax refund for exported tea sets, you need to check the consistency of the four streams in advance to ensure that the information of cargo flow, capital flow, invoice flow and contract flow is fully matched, to avoid tax correspondence. For trial order business, you need to sort out the document filing materials in advance, including procurement contracts, shipping notes of exported goods, transport documents, and export customs declaration forms. All documents must be filed within 15 days after declaration.

The foreign exchange receipt verification must be completed within the specified time limit. If you cannot receive foreign exchange on time due to special circumstances, you need to declare to the tax authority in advance for the record of failure to receive foreign exchange, to avoid affecting the tax refund qualification. Pre-declaration needs to be verified in advance, and formal declaration can be made only after eliminating wrong information.

Exported tea sets belong to the fragile ceramic category, and the packaging needs to adopt a targeted moisture-proof and reinforcement scheme. The humidity in the container is high during long-distance sea transportation, so desiccants need to be placed in the packaging to prevent wooden tea trays from getting moldy.

Each tea set needs to be individually wrapped with bubble cotton, then lined with honeycomb paper, and the outer packaging uses hard corrugated boxes plus fumigated wooden pallets, which meets the international sea transportation packaging requirements. If the exported tea sets include electric tea boiling appliances, you need to prepare the MSDS in advance, confirm that the classification of battery components meets the UN transport requirements, and the packaging meets the UN packaging specifications, to avoid being refused by the shipping company due to unqualified packaging.
