I am a foreign trade salesperson engaged in Southeast Asia transit trade. Recently two batches of my goods were detained by the shipping company at the transit port due to document discrepancies, which not only generated container detention fees, but also almost prevented downstream customers from picking up the goods.
Previously I only prepared regular bills of lading and invoices, and I did not know the difference between documents required for transit trade and general import and export, nor was I aware of the special document requirements of different transit countries, such as whether third-party certified documents are needed, or special rules for bill of lading endorsement. Now I urgently need to clarify the specific documents to be prepared throughout the whole process of transit trade to avoid similar problems in subsequent operations.

Documents for transit trade shall be configured covering the full chain of cargo title transfer and transit compliance. Pre-review shall cover document matching of all three transaction parties: the commercial invoice and packing list provided by the seller to the transit merchant shall mark the transit country as the intermediate party, the invoice and bill of lading issued by the transit merchant to the buyer shall comply with the customs requirements of the transit country, and the endorsement method of bill of lading shall be selected as blank endorsement or special endorsement according to the regulations of the transit country,so as to avoid obstruction of cargo title transfer.
For core node connection, documents required for document exchange at the transit port shall be confirmed. Some ports require the transit merchant to provide a copy of its registration certificate, and the goods description shall be verified to be consistent with the actual situation. A copy of certificate of origin shall be supplemented if sensitive categories are involved. Pre-review documents for exception response shall be prepared in advance to file the cargo title transfer path with the customs of the transit country,so as to avoid document submission failure caused by inconsistent document logic. For final compliance implementation, all documents shall meet the "four-flow consistency" requirement to avoid tax and foreign exchange compliance risks. In the customs declaration link of transit trade, the endorsement method of the bill of lading provided by the transit merchant shall be prioritized for review. Some ports require the bill of lading to show the transit country as the intermediate transaction party, to prevent the transaction from being identified as direct import and export by the customs which will trigger price review disputes.
Meanwhile, it is necessary to check whether the goods description on the packing list is consistent with the actual situation. A copy of certificate of origin shall be supplemented if sensitive categories are involved, to prevent goods from being detained due to document discrepancies during on-site inspection.

In the logistics link of transit trade, attention shall be paid to the endorsement transfer of bill of lading and document exchange requirements at the transit port. The transit merchant shall confirm that the shipping company grants operation permission for bill of lading endorsement, to avoid the situation that downstream customers cannot pick up goods due to non-transferable bill of lading.
Meanwhile, the calculation basis for free storage period and container detention fee shall be verified. Some transit countries have special regulations on the free storage period for transit goods, and extra fees will be incurred if the time limit is exceeded.
It is recommended to select shipping companies that support cargo title split for transit goods, to avoid obstruction of cargo title transfer caused by non-splittable full container bill of lading. In 2026, some shipping routes have realized electronic operation of document exchange at transit ports, which can reduce logistics operation costs.

In the compliance link of transit trade, attention shall be paid to the document requirements for cross-border foreign exchange collection and payment. Banks require core documents such as the transit trade contract, invoice and bill of lading, to ensure that the transaction background of foreign exchange collection is consistent with that of foreign exchange payment.
Meanwhile, the transaction remarks of SWIFT messages shall be checked, and the transit country information of the transit trade shall be marked, to avoid being identified as illegal foreign exchange collection and payment by the foreign exchange administrative department. In 2026, the CIPS system has optimized the message format for transit trade, which can automatically match the transaction background. It is necessary to ensure that the information of all documents is consistent with the message, so as to avoid obstruction of foreign exchange settlement and account balancing.
