I am a tile manufacturer that has just switched from domestic trade to export. In the past six months, I have received three batches of small B orders from Southeast Asia and the Middle East. Previously, I asked peer factories to ship on my behalf.

Now I want to run tile export freight forwarding business independently, on one hand to reduce intermediate costs, and on the other hand to fully control cargo rights throughout the process, but I am not sure about the actual situation of this track in 2026. I only have experience in domestic tile warehousing and transportation before, and am completely unfamiliar with export customs declaration, compliance audit and cross-border logistics links.

I heard that tiles are heavy goods prone to damage, and are often detained at the destination port due to non-compliant packaging. Last month, I also learned that a peer in a neighboring city paid nearly RMB 100,000 as port detention fees. I would like to ask whether tile export freight forwarding is easy to operate, and what core issues ordinary practitioners need to pay attention to when entering this field?

Whether tile export freight forwarding is easy to operate largely depends on the control of hidden industry risks. There are three common industry misunderstandings: first,it is assumed that tiles are not dangerous goods,so no special packaging compliance audit is required, second, people covet low-price shipping space and ignore surcharge clauses for heavy goods specified by shipping companies, third,it is believed that only compliance at the port of departure is required, and there is no need to confirm import requirements of the destination port in advance.

These misunderstandings will trigger a chain of negative reactions: Tiles are heavy-bubble goods, and the weight of a single container generally exceeds 20 tons. If packaging reinforcement is not in place, bumps during ocean transportation are likely to cause large-area damage to tile bodies, which will not only trigger customer claims, but also may lead to container detention by the customs of the destination country due to unqualified IPPC marks on packaging wood, resulting in container detention and port storage fees of hundreds of dollars per day, which can exceed one tenth of the cargo value within a week. Many freight forwarders attract customers with low quotations, then add various heavy goods surcharges after shipment, making the final total cost more than 20% higher than the regular quotation. Failure to confirm import certification requirements of the destination port in advance will also lead to failure of customs clearance, and finally the goods can only be returned or destroyed on site, resulting in full loss of payment for goods.

Core measures for physical risk isolation are to complete three levels of pre-audit,and finish all verification before goods enter the warehouse: first, complete packaging compliance verification and reinforcement test in advance, second, confirm all surcharge clauses in writing before booking shipping space, third, check all import certification requirements of the destination port before shipment.

Exclusive loss stopping tips are to purchase targeted tile export freight insurance in advance, agree on the claim scope and payment time limit in case of damage and customs detention, and sign a written risk notification agreement with the cargo owner to clarify the division of responsibilities of both parties. As long as pre-risk control is well implemented, tile export freight forwarding is highly controllable, and the profit margin is relatively stable.

In the tile export customs declaration link, the focus of price review is the matching of declared cargo value. Some practitioners underdeclare cargo value to reduce tariffs, which can easily trigger customs price review and lead to customs clearance delay. In case of price review disputes, it is necessary to prepare materials such as procurement contracts, payment vouchers and ex-factory quotations in advance to prove the authenticity of the cargo value.

In line with the requirements of integrated customs clearance at national ports, it is necessary to ensure that manifest information, customs declaration information and contract information are completely consistent when declaring, so as to avoid order rejection due to failed information comparison. In case of order rejection, it is necessary to complete order deletion and re-declaration within 48 hours to avoid additional storage costs.

For tiles exported to different countries, some countries require additional documents such as certificate of origin and quality certificate. The validity of the documents needs to be confirmed before declaration to avoid customs detention due to missing documents.

Tiles are heavy-bubble goods. The selection of logistics routes needs to be comprehensively judged in combination with the destination port, cargo volume and delivery period. For near-ocean routes, direct shipping solutions are preferred to avoid increased damage risk caused by multiple handling during transshipment. In case of space shortage and container rollover, it is necessary to reach an agreement with the shipping company to reserve shipping space and lock heavy container quota in advance to avoid delivery delay caused by container rollover.

The free storage period and free container period at the destination port need to be applied for in advance. Most shipping companies provide 7 days of free storage and free container use by default. For tiles, you can apply for extension to 14 days to avoid high container detention fees caused by untimely customs clearance. Port change business needs to notify the shipping company 7 days in advance, and complete the change of cargo right information to avoid cargo right disputes during the port change process. After the bill of lading is issued, you need to check the container number, seal number and cargo volume information at the first time to ensure the information is correct.

Tile export involves VAT payment in the destination country. For regions such as the European Union and the United Kingdom, you can choose the VAT deferral mode, which does not require advance payment of VAT during customs clearance, effectively easing the capital occupation pressure and reducing capital turnover costs. VAT deferral requires early registration of the VAT number of the corresponding country, and entrust a local tax agent to complete the filing to ensure that the deferral application meets local tax requirements.

If cross-border related transactions are involved, it is necessary to properly keep pricing documents, meet the relevant requirements of BEPS, and avoid transfer pricing investigation by tax authorities, which will lead to tax supplement and fines. When non-resident enterprises undertake tile export business, they need to confirm withholding tax payment requirements in advance, carry out reasonable tax planning, and legally reduce tax costs.

Tile export payment collection and payment need to meet the requirements of domestic foreign exchange administration. CIPS RMB cross-border payment is preferred to avoid exchange rate fluctuation risk and reduce handling fees generated by SWIFT message transfer. Payment collection and payment need to ensure the authenticity of the transaction background, and the corresponding contract, invoice and customs declaration information are consistent to avoid foreign exchange settlement failure.

If you use an offshore account to collect payment, you need to complete the registration of payment collection and payment ledger, meet the compliance management requirements of offshore accounts, and avoid account freezing. The foreign exchange settlement timing can be combined with the exchange rate trend to carry out flat disk operation, lock the settlement price, and reduce exchange difference loss. All payment collection and payment operations need to keep complete messages and vouchers for subsequent verification.

In the tile export customs inspection link, it is necessary to prepare a full set of documents in advance, including procurement contracts, invoices, packing lists and certificates of origin, etc., and place them near the container door to facilitate quick access during container unloading and inspection. It is necessary to check the authenticity of the container seal in advance to avoid cargo problems caused by seal replacement.

Before machine inspection, it is necessary to adjust the placement position of goods to avoid high-density tiles blocking machine inspection imaging and triggering manual inspection. If inspection and identification are required, it is necessary to cooperate with the customs to provide samples, follow up the progress of the test report. If there are unqualified items in the report, it is necessary to provide supplementary materials in time and apply for re-inspection to avoid extra costs caused by cargo detention.

Tile export packaging needs to be treated with moisture-proof and reinforcement. During ocean transportation, the humidity in the cabin is high, and ordinary packaging is prone to moisture, leading to mildew of the packaging box and affecting product delivery. It is necessary to place desiccant in the container, with no less than 1kg of desiccant per 10 cubic meters. Wooden packaging needs to be treated with IPPC fumigation and stamped with a qualified IPPC mark to avoid cargo detention by the customs of the destination country due to unqualified wooden packaging.

For large tiles, angle iron reinforcement frames need to be used for fixation to avoid damage caused by shaking and collision during transportation. High-density pearl cotton is preferred as buffer packaging material, which has good buffer effect, light weight and will not excessively increase cargo weight. MSDS needs to be prepared truthfully according to the composition of tiles. If tiles contain radioactive substances, they need to meet the radioactive standard requirements of the destination country.

Tile export tax refund needs to ensure the consistency of four flows, that is, the information of cargo flow, capital flow, invoice flow and contract flow is completely matched, so as to avoid triggering tax letter adjustment. If you receive a tax letter adjustment, you need to prepare a full set of documents in time, including procurement contracts, sales contracts, payment vouchers, delivery notes, customs declarations and foreign exchange receipts, to cooperate with the tax authorities to complete the verification.

Export tax refund needs to complete pre-declaration verification in the month after the goods are exported, and make formal declaration after confirming that the declaration information is correct, so as to avoid declaration failure due to incorrect information. Document filing needs to be completed within 15 days after declaration, all documents should be sorted and filed, and kept for at least 10 years. Foreign exchange receipt verification needs to be completed within one year after export, otherwise tax refund cannot be handled.

Tile export supply chain needs to optimize the structure in combination with order scale. For small-batch and multi-batch orders, you can choose the overseas warehouse stocking mode to shorten the delivery cycle and reduce single logistics cost. For large-batch full-container orders, FOB trade terms are preferred, and the buyer is responsible for booking shipping space, reducing the logistics risks of the seller.

Cost actuarial calculation needs to include all hidden costs, including packaging fees, reinforcement fees, inspection fees and surcharges, etc., to avoid missing calculation leading to reduced profit margin. Inventory linkage can be realized by docking with the overseas warehouse system, adjust the stocking volume according to sales data, avoid inventory backlog occupying capital, adjust the supply chain path according to the demand changes of different regional markets, and reduce the overall operating cost.
